Privacy Policy

This page covers the public Gentle Weapons website. Product evaluations, pilots, licenses, and services are governed by the applicable written agreement.

1. Scope and responsible company

This Privacy Policy explains how Gentle Systems, Inc. collects, uses, discloses, and retains personal information through the Gentle Weapons website at gentleweapons.com and related pages that link to this policy. In this policy, “Gentle Weapons,” “we,” “us,” and “our” refer to Gentle Systems, Inc.

This policy covers our public website and briefing request form. A product evaluation, pilot, deployment, support engagement, or other service may involve different information practices that will be addressed in the applicable agreement or notice.

2. Information we collect

Information you provide

We collect information that you choose to provide, including:

  • Briefing request details, including your name, organization, email address, role, and message.
  • Communications that you send by email or provide during later calls, meetings, or business discussions.
  • Recruiting information that you send to our careers address, such as your resume and employment history.

Information collected automatically

When you use the website, we and our service providers may collect:

  • Network and device information, such as your IP address, browser type, operating system, device type, language, and approximate location derived from IP address.
  • Usage information, such as pages viewed, referring page, dates and times, links or buttons selected, and other interactions with public page elements.
  • Operational information, such as requested URLs, response status, diagnostic data, and security or rate limiting events.
  • A randomly generated analytics identifier stored in a first party cookie and browser local storage.

For briefing requests, our analytics events report whether each optional field was completed, the message length, the email domain suffix such as “mil” or “com,” and whether submission succeeded or failed. We do not send the name, organization, complete email address, role, or message text from that form to PostHog.

3. Cookies and analytics

We use PostHog to understand website traffic and interactions. PostHog autocapture is enabled and can record page views and interactions with public page elements. PostHog sets a first party analytics cookie that is configured to expire after one year, and it stores related identifiers in browser local storage, which may remain until you clear it. Our current PostHog project configuration does not enable session replay.

You can block or delete cookies and local storage through your browser settings. Blocking these technologies may limit analytics but should not prevent you from reading the site or sending a briefing request. The website does not currently respond to browser “Do Not Track” signals. We do not use website information for cross context behavioral advertising, and we do not sell it for money. Because we do not sell personal information or use it for targeted advertising, Global Privacy Control signals do not change those practices.

4. How we use information

We use personal information to:

  • Respond to inquiries and determine whether a briefing, pilot, or role is appropriate.
  • Schedule and conduct business discussions requested by you or your organization.
  • Operate, measure, maintain, and improve the website and its content.
  • Prevent abuse, enforce rate limits, diagnose failures, and protect our systems.
  • Comply with law and protect our rights, safety, users, and business partners.
  • Evaluate or complete a financing, reorganization, acquisition, or similar transaction.

Where applicable law requires a legal basis, we process information to take steps you request before entering a contract, to pursue our legitimate interests in operating and securing a business website and responding to professional inquiries, to comply with legal obligations, and with consent where required.

5. How we disclose information

We may disclose personal information to the following recipients:

  • Google Cloud, which hosts the website and processes infrastructure and request logs.
  • Resend, which transmits briefing request emails and processes email addresses, message content, and related delivery metadata.
  • PostHog, which provides analytics and processes identifiers, device and usage data, and the limited form analytics described above.
  • Professional advisers, auditors, insurers, and transaction counterparties when reasonably necessary for their services or a corporate transaction.
  • Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security.

We do not sell or rent personal information, and we do not disclose it to third parties for their own cross context behavioral advertising.

6. Restricted and sensitive information

The public website and briefing request form are not approved systems for classified information, Controlled Unclassified Information, export controlled technical data, source selection information, protected health information, financial account numbers, Social Security numbers, or other regulated or restricted information. Do not submit that information through the website or ordinary email. Contact us first to arrange an approved communication method when needed.

7. Retention

We retain each category of personal information only as long as reasonably necessary for the purposes described in this policy. The applicable period depends on the duration of our relationship or discussions, operational and security needs, provider settings, applicable limitation periods, and legal, accounting, or compliance obligations. We may retain information longer when required by law, needed to resolve a dispute, or preserved in a secure backup until its ordinary deletion cycle completes.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information we process. No internet transmission, email system, or storage method can be guaranteed completely secure. You should not use the public form or ordinary email for sensitive or restricted information.

9. United States processing

Gentle Weapons is based in the United States. We and our service providers may process and store information in the United States and other countries where they operate. Those locations may have data protection rules different from those in your jurisdiction.

10. Your privacy rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information. You may also have rights to object to or restrict certain processing, withdraw consent, or appeal our response. We do not discriminate against anyone for exercising an applicable privacy right.

Applicable law may permit or require us to deny or limit a request. You may use an authorized agent where applicable, but we may require proof of authorization and identity verification.

11. Children

The website is intended for business and government professionals and is not directed to children under thirteen. We do not knowingly collect personal information from children under thirteen. If you believe a child has provided personal information, please contact us so we can review and delete it where appropriate.

12. Changes to this policy

We may update this policy as our website, providers, or legal obligations change. We will post the revised policy on this page and update its effective date. We will provide any additional notice required by applicable law for material changes.
